Links

How to add links to web pages in the Knowledge Center, open and assign them, and rename, edit, or delete them.

A link is an asset (any item you keep in the Knowledge Center) that points to a web page outside Joy. Links let you keep useful online resources in the Knowledge Center next to your FlexDocs and files so your team finds everything in one place. For example, you can add a link to your benefits provider's portal, a government page on workplace safety, or a recorded webinar.

Like other assets, links are stored in folders, and you can assign a link to your team so they open it as part of their tasks.

Joy stores the link, not the web page itself. So the Knowledge Assistant, Joy's AI chat, can't answer questions about what's on the linked page. If you want the Assistant to use the content, add it as a file or a FlexDoc instead.

To view a link, follow these steps.

Go to the Knowledge Center.

Find the link.

You can browse the folders or use the Search bar to look it up. To see only links, you can click  Filter and select Link under Type.

Click the link.

The Link panel opens.

Click  Open link.

The web page opens in a new browser tab.

You can also open the web page by clicking  Open in the panel.

If you have Admin access, you can see more about a link in its panel. Click  Manage in the panel to switch from the preview to two tabs: Overview and Details.

The Overview tab shows the link's About description and how users are using it:

  • Total Assignments is the number of times the link has been assigned.
  • Avg. Days to Complete shows how many days, on average, users took to complete the link after it was assigned.
  • The Activity over Time chart tracks how often the link was assigned in each of the last six months.

The Details tab holds the link's fields and settings.

To go back to the preview, click  Preview.

The link's fields and settings appear on the Details tab, in three sections.

Basic Info

  • Title: The name users see in the Knowledge Center. Pick a name that tells users what they'll find on the page, such as Benefits enrollment portal rather than the website's address.
  • Status: Whether the link is active. Turn off Active to make the link a draft, which only users with Admin access can see.
  • About: A short description of the link. Use it to say what the web page covers and who it's for so users can decide whether they need it. The About text also helps users find the link when they search the Knowledge Center.
  • Created by (view only): The user who added the link, and when.
  • Last edited by (view only): The user who last changed the link's details, and when.

Appearance

  • Asset Banner Image: The image that appears across the top of the link's panel. You can select one of the preset banners or upload your own image. If you upload an image, you can choose its style:
    • Fit: Shows the full image, but if it doesn't fill the banner, you may see empty space around it. You can choose a Background color for the empty space.
    • Fill: Covers the whole banner, but the edges of the image may be cropped.

Advanced

  • API ID (view only): The ID you can use to refer to the link if you're using the JoySuite API.

Only users with Admin access can add, edit, assign, and delete links.

To add a link, follow these steps.

Go to the Knowledge Center.

Go to the folder where you want to add the link.

You can skip this step to add the link at the top level of the Knowledge Center.

Click +New, then Add Link.

The Add link window opens.

In the URL field, enter the web address of the page.

If you leave out https://, Joy adds it for you. When you move to the next field, Joy fills in Link name with the website's domain, such as www.example.com.

In the Link name field, enter a clear name for the link.

This becomes the link's Title, the name users see in the Knowledge Center. It can be up to 150 characters.

Click Add.

Your link appears in the folder. It's active right away, so users can see and open it.

After you add a link, you can write a description in the About field so users know what the page is for.

You can assign a link to yourself or to other users. Once it's assigned, it appears on their Tasks page as a task to complete so you can track their progress.

To assign a link, open its panel and click the  More Actions icon, then Assign. In the Assign window, you choose who gets the link and when it's due.

You can also assign a link from the Knowledge Center by clicking the  More Actions icon on the link, then Assign. To assign several assets at once, use batch actions.

You can rename a link by changing its Title. You can also edit its status, description, and banner image.

To change a link's web address, add a replacement and delete the original.

To rename a link or edit its settings, follow these steps.

Go to the Link panel.

The steps in Viewing a link show how to open it.

Click  Manage.

The Overview and Details tabs appear.

Go to the Details tab.

Click the  Edit details icon.

The fields become editable. The field list explains what each one does.

Make your changes.

Click  Save.

Joy saves your changes.

You can also click the  More Actions icon on the link in the Knowledge Center, then Edit Details.

You can move a link to another folder the same way as any other asset.

Deleting a link removes it from the Knowledge Center. The web page itself isn't affected.

To delete a link, follow these steps.

Go to the Link panel.

The steps in Viewing a link show how to open it.

Click the  More Actions icon, then Delete.

The Delete asset? window opens.

Click Delete.

The link is removed from your Knowledge Center.

You can't undo deleting a link. To hide a link from users who don't have Admin access without deleting it, turn off Active instead.
