Creating a task
Assign an asset to a user to create a task, and set its dates and acceptance window in the Assign window.
A task is something that you want a user to do. For example, you may want a user to view a knowledge asset such as a FlexDoc or file.
Whenever you assign an asset to a user, a task is created on their Tasks page.
Assigning an asset
To assign an asset to a user, follow these steps.
Find the asset in the Knowledge Center
Locate the asset you want to assign in the Knowledge Center.
Hover over the asset's card
Hover over the asset's card to reveal a checkbox.
Select the asset
Click inside the checkbox to select the asset. If you select more than one asset, Joy automatically creates a separate task for each one.
Click the Assign icon
Click the Assign icon. The Assign window appears.
You can also assign a task by clicking the More Actions icon. This icon can be found in several places, including the asset's card, the FlexDoc Admin panel, or the File Admin panel.
The Assign window
The Assign window allows you to provide more details about the assignment.
- To: The user(s) you want to assign the assets to. You can start typing a user's name to find them quickly or select them from the dropdown.
- Subject: The subject line of the assignment.
- Optional Message: Any additional information you would like to provide to your users.
You can also edit the due date, warning period, and acceptance window of any assets as needed. When you're ready to assign the asset(s) to the user(s), click Assign.
Asset options
Within the Assets section, you can see the assets you are about to assign as tasks. Each asset has a More Actions icon with options to edit its dates or remove it from the assignment.
Edit Dates
To override the default dates for a task, click the More Actions icon, then click Edit Dates.
- Due Date: The date when the user needs to complete the task. You can specify either the number of days after the assignment or a specific date.
- Warning Period: When the task will display a warning on the user's Tasks page to notify them that it's almost due. You can specify either the number of days before the task is due or a specific date.
- Acceptance Window: The period of time during which previous completions of the asset associated with the task are accepted. You can specify one of the following options:
- Days before assignment: Accept completions that occurred within a specific number of days before this assignment. For example, if you set it to 30 days, any user who completed the asset in the past 30 days does not need to do it again.
- Specific date: Accept completions that were done after a specific date. For example, if you set the date to January 1, 2025, any user who completed the asset after that date does not need to do it again.
- Do not accept previous completions: Require the user to complete the asset again, regardless of when they last did it.
Click Save to save your changes.
Remove from Assignment
If you no longer want to assign an asset as a task, click the More Actions icon on the asset's card, then click Remove from Assignment.
