Viewing tasks
Discover how to get to the Tasks page, view your assigned tasks, and the tasks you've assigned to others.
A task is something you've been assigned to do in Joy, such as read a FlexDoc or open a file. You can view your tasks, and the ones you've assigned, from the Tasks page.
Tasks page
You can get to the Tasks page by clicking Tasks in the main menu.
By default, the page is organized into columns based on stage (for example, Not Started, In Progress). This is referred to as a Kanban view. You can collapse or expand each column by clicking the < or >.
You can search for tasks by name by typing in the Search bar. You can also use the filters to narrow down your results.
The two tabs
The Tasks page has two tabs.
- My tasks: Shows the tasks assigned to you. It is the first tab you'll see when viewing the Tasks page.
- Assigned by me: Shows the tasks that you've assigned to others, who they are assigned to, and their current stage. It is useful for ensuring your users are on track.
Task summary
On the Tasks page, each task shows the name of the asset you need to complete, your progress percentage, and the due date.
The exact details shown depend on which view (grid, tile, or Kanban) you are using. Some views show more information, such as the task's current stage, while others keep it compact.
On the Assigned by me tab, each task also shows the name of the person it is assigned to, making it easy to see who is working on what.
Accessing a task assigned to you
To access one of your assigned tasks, follow these steps:
Go to the Tasks page.
Click Tasks in the main menu. The page opens to the My tasks tab.
Select a task.
This will either open an overview with a few details and a Start button, or it will open the asset automatically.
Viewing a task's details
To view more details about a task, follow these steps:
Click the More Actions icon.
This reveals more ways you can interact with the task.
Select About.
The task's details appear.
At the top, you'll see the asset name, the assignee, the task's status, and its current stage.
Below that, there are two tabs: Overview and Details.
Overview tab
The Overview tab displays the name of the asset associated with the task (what you or the user needs to do) and its due date.
Details tab
The Details tab contains more information about the task, organized into three sections.
Basic Info
- Assigned To: The user the task is assigned to.
- Assigned Date: The date the task was assigned.
- Due Date: The date the task must be completed by.
- Warning Date: The date the task enters the Warning stage. This lets the assignee know the deadline is approaching so they can complete it before it's overdue.
- Expected Duration (Minutes): An estimate of how long the task will take.
- Actual Duration (Minutes): The amount of time it took the assignee to complete the task.
- Flag for Review (coming soon): Whether the task has been flagged for review.
- Status: The current status of the task (for example, Open or Closed).
Assigned Asset
- Name: The name of the asset associated with the task.
- Progress Stage: The current stage of the task. This stage represents the user's current progress.
- Grade: The score earned by the user assigned the task.
Completing a task
When viewing a task's asset, you'll see a Mark as Complete button at the bottom. Click this button to acknowledge that you have completed the task.
The task's stage automatically changes to Completed, and its status changes to Closed. When a task is closed, it means that no further action is needed. Admins can also manually close a task for a user.
