Managing Content

How to add and format blocks of content in a FlexDoc, including text, tables, images, videos, equations, diagrams, and AI-generated content.

From the FlexDoc Editor, you can add content to your FlexDoc in the form of text, images, tables, lists, AI-generated content, and more. Then, when you're ready, you can share the FlexDoc with others.

Managing blocks

Each piece of content that you add with the FlexDoc Editor is referred to as a "block" — paragraphs, images, headings, videos, tables, and so on. You can style each block independently. For example, you can make the text in one paragraph block bigger or change its background color without affecting the other blocks on the page.

Adding a block

The easiest way to add a block is by pressing Enter on your keyboard. You can also hover over an existing block and click the Add icon to add a new block below it. The Insert icon in the toolbar lets you add special types of blocks, such as horizontal lines, images, and tables.

In some cases, such as inside a bulleted list, pressing Enter adds another block with the same formatting (for example, another bullet in your list).

Moving a block

Grab the block

Hover over the block you want to move, then click the Block icon that appears beside it.

Drag it to a new position

While holding down your mouse button, drag the block. A blue bar shows you exactly where the block will be placed.

Drop the block

Release your mouse button to drop the block in its new location.

Formatting a block with the slash "/" menu

Press / on your keyboard, then use your mouse or the arrow keys to select the type of block you want and press Enter. You can also start typing the name of the block after the slash. The slash menu includes:

Formatting text

You have numerous options for changing the appearance of text in your FlexDoc. The table below lists each text formatting option and where you can find it.

Aligning content

Change the alignment of your text, an image, or a video by selecting it, then picking an alignment option from the toolbar: Left, Center, Right, Justify, Start, or End.

Adding a list

Use the toolbar or the slash "/" menu to add numbered lists, bulleted lists, and check lists (to-do lists). If you highlight one or more text blocks and then click one of the list options in the toolbar, the selected blocks become list items.

Highlight some text, then click the Link icon in the toolbar or floating toolbar.

Adjusting the indentation

Highlight the text or click within the block, then push text to the right with the Indent icon in the toolbar, or toward the left with the Outdent icon.

Using columns

Columns are a great way to display a block of text beside an image. Click the Columns Layout option in the toolbar or the slash "/" menu, then in the Insert Columns Layout window, select the arrangement you want to use and click Insert.

To delete a column layout and its contents, highlight the columns and press Delete or Backspace on your keyboard.

Using collapsible containers (accordions)

Collapsible containers can be opened and closed by the reader — when closed, only the label is visible. They make it easy to hide large chunks of content behind a headline, which is useful for content such as FAQs: readers see only the questions and open a container to view the answer.

Add a collapsible container from the toolbar or the slash "/" menu. Enter a label on the first line that gives users a clear idea of what they'll see when they open the container; any content after the first line is hidden when the container is closed.

Undo and redo

If you make a mistake, click the Undo icon in the toolbar or press Ctrl + Z. Click the Redo icon or press Ctrl + Y to reverse the undo.

Adding a table

Click the Table icon in the toolbar or the slash "/" menu. In the Insert Table window, specify the number of rows and columns you want, then click Confirm.

Once you have a table, you can manage it from the table menu (click in a cell, then click the arrow):

Resize rows and columns Click a row or column border and drag it
Add rows and columns Click in a cell above or below where you want the new row or column, click the arrow, then select an add or insert option. In the last row or column, click the Add icon to append a row or column to the end
Add or remove header styling Select the row or column header options to give the row or column a gray background and bold text; select the remove options to clear it
Delete a row, column, or table Click in a cell in the row or column, click the arrow, then select the delete option
Change a cell's background color Click the arrow, then Background color. Pick a pre-defined color, use the color picker, or enter a hex code, then click the Close icon
Alternate row colors Click the arrow, then Toggle Row Striping to give every other row a slightly different background color, making the table easier to scan

When you delete a row, column, or table, any text you've added to the cells is also deleted.

Adding text with voice dictation

With the speech-to-text option, you talk and Joy captures your words right onto the page — useful if you can't use your keyboard or want to get your thoughts down quickly.

Choose where the text goes

Click the spot on the page where you want to add text.

Start recording

Click the Speech to Text icon in the toolbar. If prompted, grant Joy permission to use your microphone.

Speak out loud

Joy adds your words to the page as you talk.

Stop recording

Click the Speech to Text icon again, then edit your text as needed.

Adding an image

You can use the Knowledge Assistant to create an image, or explore the list of free image resources.

Open the Insert Image window

Click the Image icon in the toolbar or floating toolbar.

Upload your image

Click Choose File to upload your image file.

Add alt text

Enter a description of the image that is read aloud to visually impaired people so they know what the picture shows.

Click Confirm

The image is added to your page.

To add a caption — a title or short description of the image — click the image, then click Add Caption. You can use the editor's formatting options to customize how the caption looks. To remove an image, select it and press the Delete key.

Adding a video

Click the YouTube, Vimeo, or Twitch icon in the toolbar or the slash "/" menu to embed a video from those platforms.

Adding an equation

You can format mathematical equations using LaTeX — simple text commands that display complex math symbols. Click the Equation icon in the toolbar or the slash "/" menu to open the Insert Equation window. As you enter your equation, you'll see a preview. By default, equations appear inline below your previous line of text; uncheck the Inline checkbox to center the equation. Click Confirm to add it.

To edit an existing equation, double-click it. This opens a gray box where you can update the equation; click outside the box when you're done.

Using Excalidraw

Excalidraw is a digital whiteboard where you can draw diagrams, create simple charts, or sketch out ideas — perfect for brainstorming, flowcharts, or explaining complex concepts in your FlexDoc.

Click the Excalidraw icon in the toolbar or the slash "/" menu to open a blank canvas with Excalidraw's toolbar. Use the toolbar options to draw shapes such as rectangles, diamonds, circles, arrows, and lines, and change each shape's outline color, width, and style (solid, dashed, or dotted) as well as its background color. There are also tools to draw freehand, add text, and insert an image, plus pan and move tools to view other parts of the canvas and reposition what you've added. When you're finished, click Save.

Generating content with AI

Generate new content

Click Generate in the toolbar or the slash "/" menu to open the Generate Content window. Enter a prompt — the text you type to give the AI instructions — then click Generate. If you aren't sure where to start, use one of the pre-defined options: Write article, Create outline, or Write blog post.

For the best results, be as specific as possible in your prompt. For example: "Write an internal memo to announce the promotion of Ingrid Erickson as the new Director of the Cybersecurity department. Use a professional and friendly tone."

After the AI writes the content, choose Accept to add the generated text to your FlexDoc, or Reject to close the AI chat area without adding it.

Modify existing content

Highlight the text you want to refine, then click Edit in the floating toolbar. Enter a prompt or choose one of the pre-defined options: Improve writing, Make more formal, Make more casual, Summarize, Expand, Fix grammar, or Explain concept. Then click Generate.

Choose Accept to replace the highlighted text with the AI-generated content, or Reject to close the Edit with AI window without making changes.
