Drafts and publishing

How to create and save drafts, publish your changes, and view the version history in the FlexDoc Editor.

Within the FlexDoc Editor, a FlexDoc can have two states:

  • Draft: A private copy of the FlexDoc where you can make changes without affecting what other users see.
  • Published: The live version of the FlexDoc that's visible to users in the Knowledge Center.

Creating a draft

To create a draft of a FlexDoc:

Open the Knowledge Center from the main menu.

Find the FlexDoc.

Browse the folders in the Knowledge Center, or use the Search bar to find it by name. You can also create a new FlexDoc.

Click the FlexDoc.

This opens the FlexDoc in a panel.

Click the  More Actions icon and select Edit Content.

This opens the FlexDoc in the FlexDoc Editor.

Click  Create Draft.

This makes an editable copy of the published FlexDoc that you can update. If the FlexDoc already has a draft, the Editor opens to the existing draft and you can skip this step.

There can only be one draft of a FlexDoc at a time.

Now that you have a draft, you can manage your FlexDoc's pages and add content such as text, images, and videos.

Saving a draft

The FlexDoc Editor automatically saves your draft shortly after you stop typing, so you never have to worry about losing your work. The time that your draft was last saved displays under the FlexDoc's name.

If you want to save right away instead of waiting, click  Save Draft in the FlexDoc Editor's header.

Switching between draft and published

To compare your draft to the published version, click  View. This shows you the published content. If the FlexDoc has never been published, View shows your draft instead.

Click  Edit Draft in the FlexDoc Editor's header to return to editing.

Publishing a FlexDoc

When you're ready to make your draft public, click  Publish in the FlexDoc Editor's header. Publishing a FlexDoc makes the content visible to users in the Knowledge Center.

Viewing the version history

Every time you publish a FlexDoc, Joy saves a snapshot of the published content as a version.

To view the version history:

Locate the FlexDoc in your Knowledge Center.

You can find the FlexDoc by going to its folder or by searching.

Click the  More Actions icon and select Edit Content.

This opens the FlexDoc in the FlexDoc Editor.

Click the  More Actions icon in the Editor's header and select Version History.

This opens the Version History panel.

The Version History panel lists your current draft (if you have one) and every published version of the FlexDoc. Each version shows a version number and the date it was published. The most recent published version is marked as Live publish, and older versions are marked as Superseded.

Versions are only created when you publish a FlexDoc.

To look at a previous version of the FlexDoc, click Preview. From there, you can click Restore in the banner to use that version as your current draft.
