Viewing and managing the Knowledge Center

How to navigate the Knowledge Center, view its details, edit its settings, and move assets between folders.

The Knowledge Center is the central hub for all your content and resources (called assets in Joy). By organizing your assets into folders in this central location, your team can instantly find the information they need.

Knowledge Center page

You can get to the Knowledge Center from the main menu. A banner image displays across the top of the page.

In the tree menu, you can see all the folders in your Knowledge Center, arranged in a hierarchy. This organization provides a high-level view of your Knowledge Center, allowing you to navigate quickly. Click the  Expand Arrow beside a folder to view its subfolders, and click a folder name to go to that location. Click the  Menu icon to show and hide the tree menu.

Beside your Knowledge Center's name is a New button that lets you add folders, files, FlexDocs, or links.

The header also includes the Search bar, along with three controls that change what you see:

  • Filter: Focuses what you see by Type (File, FlexDoc, or Link) and Status (Draft or Published).
  • Sort: Arranges your assets by name, modified date, type, or status.
  • View: Switches between grid and table view. The Knowledge Center opens in grid view.

Folders and assets

Within the main area of the Knowledge Center, you can see all of your folders and assets.

Click a folder to view its contents, or click an asset to preview it.

You can also click the  More Actions icon on any asset to view additional options. For example, you can click the  More Actions icon on a FlexDoc to view the asset's details or quickly edit it.

Viewing the Knowledge Center's details

Click the  Information icon to learn more about your Knowledge Center. This opens the Knowledge Center Admin panel.

In the panel, you'll see your Knowledge Center's name and how many folders and assets are inside it.

The Knowledge Center Admin panel features two tabs: Overview and Details.

Overview tab

The Overview tab includes an About section with a description of the Knowledge Center.

You'll also see summaries of how many assets and subfolders are at the top level of your Knowledge Center. Total Assets is the total number of assets, including drafts that haven't been published yet. Published is the number of assets that your users can see.

Below the metrics, a chart shows how many assets have been added each month over the last six months.

Details tab

The Details tab contains all of the Knowledge Center's information and settings, organized into sections.

  • Basic Info: General information about the Knowledge Center, such as its name, who created it, and who last updated its details.
  • Appearance: The Knowledge Center's banner image.
  • Advanced: The ID you can use to reference the Knowledge Center if you are using the Joy API.

  • Created by (view only): The user who created the Knowledge Center and the date and time that they created it.
  • Edited by (view only): The user who last updated the Knowledge Center's details and the date and time of the update.

Searching the Knowledge Center

Browsing your folders works well when you know where something lives. When you don't, use the Search bar at the top of the Knowledge Center.

As you type, Joy matches what you enter against the names of your folders and assets, and against folder descriptions. Anything that contains your text appears, including drafts.

When you enter at least three characters and press Enter on your keyboard, Joy also looks inside your assets. It matches your words against the text and description of each asset, and it matches meaning as well, so a FlexDoc or file can appear because it is about what you asked, even when it does not use your exact words.

Searching for a folder or asset

To search the Knowledge Center:

Select Knowledge Center from the main menu.

This opens your Knowledge Center.

Go to the folder you want to search.

Skip this step to search your entire Knowledge Center.

In the Search bar, enter a word or phrase, then press Enter on your keyboard.

Joy displays the folders and assets that match your search term.

From the scope dropdown in the Search bar, select This folder or All locations.

Joy updates your results using the scope you selected.

Click a folder or asset.

The selected folder or asset opens.

If your search returns a long list of matches, click Load More at the end of the list to see more results. To review your results on their own page, click View full results.

If nothing matches, Joy lets you know that there are no results for your search term and offers to clear your search or your filters.

To clear a search and return to browsing, click the  Close icon in the Search bar.

After you enter a search term and press Enter on your keyboard, you can tell Joy where to look:

  • This folder: By default, Joy searches the folder you are viewing, including everything in its subfolders.
  • All locations: Searches your entire Knowledge Center.

Recent searches

Click the empty Search bar to see your five most recent searches. Click one to run it again, or click the  Close icon beside it to remove it from the list.

Moving assets in the Knowledge Center

You can quickly reorganize your Knowledge Center to keep it tidy by dragging and dropping assets or folders. Drag and drop works in the tree menu and in the main area.

To move assets or folders in the Knowledge Center:

Select Knowledge Center from the main menu.

This opens your Knowledge Center.

Find the asset or folder you want to move.

You can browse your folders or use the Search bar.

Click and hold the asset or folder.

The selected asset or folder is ready for you to move.

Drag the asset or folder to the destination folder.

The destination folder is highlighted.

Release the mouse.

The asset or folder is moved.

You can also move assets by selecting their checkboxes and then using the Actions bar. You may need to hover over an asset to reveal its checkbox.
