Using my process docs, FAQs, and meeting notes in the Knowledge Center, answer my team's routine questions the way I would, and cite the source document every time.

Meet Dana's Ops Expert: a Virtual Expert built from Dana Whitfield's operations SOPs, FAQs, and meeting notes in the Knowledge Center. It answers in Dana's voice and cites the source behind each answer, and it's an assistant trained on Dana's material, not Dana herself. Here's how it fields a routine one: “Where do I find the vendor onboarding checklist?”

The vendor onboarding checklist lives in the Operations shared drive, under Operations › Vendors › Onboarding › vendor-checklist-v3.xlsx. Grab v3. The older copies still floating around are out of date.

The way I run it:

  1. Fill in the checklist with the vendor's details and W-9.
  2. Get Finance to sign off on payment terms before anything else moves.
  3. Send it to Legal for the contract review.
  4. Add the vendor to the database once it's approved.

One rule I set after the Q3 mix-up: any vendor over $50k goes to Mike in Procurement first, ahead of Finance. That's what keeps us from redoing the paperwork.
